We keep this simple and in plain English. Nostalgix is a small business based in Hobart, Tasmania. We take your privacy seriously — not because we have to, but because it's the right thing to do.
The short version: We collect only what we need to process your order. We don't sell your data. We don't share it with anyone except the services needed to run the business. You can ask us to delete it at any time.

What Information We Collect
When you use our quote form, place an order, or get in touch with us, we may collect:
- Contact details — your name, email address, and phone number
- Order details — the types and quantities of media you're sending, your preferred output formats, and any special instructions
- Payment information — processed securely through our invoicing system; we do not store card details
- Correspondence — any emails or messages you send us
- Technical data — basic analytics data about how you found and used our website (see Cookies section below)
We do not collect sensitive information such as health data, financial account details, or government identifiers.
Why We Collect Your Information
We use your information only for the following purposes:
- Processing and fulfilling your order
- Communicating with you about your order — updates, questions, delivery
- Issuing quotes and invoices
- Returning your original media to you safely
- Improving our website and understanding how customers find us
We will never use your information for unsolicited marketing without your explicit consent.
Who We Share It With
We use a small number of trusted third-party services to run the business. Your information may pass through or be stored by:
- InvoiceNinja — our self-hosted invoicing system, used to generate and store quotes and invoices. Hosted on our own server in Australia.
- Google (Gmail SMTP) — we use Google as an email relay to send order confirmations and correspondence. Emails pass through Google's servers in transit.
- Google Analytics & Google Ads — we use these to understand website traffic and measure the effectiveness of any advertising. This data is anonymised and aggregated.
- Elfsight — we use Elfsight to display Google Reviews on our website. This is a display-only widget.
- Cloudflare — our website is served through Cloudflare, which provides security and performance services. Cloudflare may process request data as part of this.
We do not sell, rent, or trade your personal information to any third party, ever.
Your Media Content
The physical media you send us — tapes, film, photographs — contains personal and often deeply private content. We treat it with the utmost care and discretion:
- Your media is handled only by staff of Nostalgix — no third parties ever handle your items
- Digitised files are retained for a minimum of 30 days after delivery, giving you time to confirm everything has arrived safely
- Digitised files are deleted within 90 days of delivery at the latest — often sooner if storage capacity requires it. We do not retain copies beyond this period
- We do not view, copy, share or use your content for any purpose other than completing your order
- Your content is never used to train AI models — including our own AI enhancement process, which uses pre-trained models only
- Files are not publicly accessible at any point during processing
- Original media is returned to you by tracked post once your order is complete (unless you request disposal — see below)
Return and Disposal of Physical Media
After your order is complete, we handle your original physical media as follows:
- Local drop-off orders — your original media is available for collection from us once your order is complete. We'll let you know when it's ready.
- Mail-in orders — return by post — for mail-in orders, originals are returned by tracked post as standard. Return postage is included or invoiced depending on your order.
- Requested disposal — if you ask us to dispose of your media rather than return it, we do so in an environmentally responsible way. Sensitive media (tapes, film) is rendered unplayable before disposal to protect your privacy.
- Uncollected media — if we are unable to return or you fail to collect your media within 60 days of order completion, we will make one further attempt to contact you. If we receive no response within a further 30 days (90 days total from order completion), we reserve the right to dispose of the media responsibly. We accept no liability for media not collected or responded to after this period.
If you have any concerns about your original media at any point, please don't hesitate to get in touch — we'd rather resolve any issue than have irreplaceable items go unclaimed.
Cookies and Tracking
Our website uses cookies — small text files stored in your browser — from the following sources:
- Google Analytics / Google Ads — to track website visits and conversions anonymously. You can opt out via Google's opt-out tool.
- Cloudflare — sets security and performance cookies as part of its service.
- Elfsight — may set cookies as part of the reviews widget.
Australia does not currently require cookie consent banners, but you can manage or disable cookies through your browser settings at any time. Note that disabling cookies may affect how some parts of the site work.
How Long We Keep Your Data
We retain your order information (name, contact details, order details) for as long as reasonably necessary for business and legal purposes — typically up to seven years for financial records as required by Australian tax law. After that, it is deleted.
If you'd like us to delete your data sooner, just ask — see below.
Your Rights
You have the right to:
- Access the personal information we hold about you
- Correct any information that is inaccurate or out of date
- Request deletion of your personal information (subject to any legal obligations we have to retain records)
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we've mishandled your information — oaic.gov.au

Data Security
We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access. Our website is served over HTTPS, our servers are protected by Cloudflare, and access to customer data is limited to the business owner only.
No method of transmission over the internet is completely secure, but we do everything reasonably practical to protect your information.
Changes to This Policy
We may update this policy from time to time. The date at the top of this page will always reflect when it was last revised. We won't notify you of minor wording changes, but if anything significant changes in how we handle your data, we'll make it clear.
